The day began with a solemn atmosphere as attendees gathered for the start of the program. The event officially opened with a prayer played via the AVR, followed by the playing of the Philippine National Anthem, also through the AVR, which set a respectful and patriotic tone for the day’s proceedings.
The program moved forward with the Opening Remarks delivered by Patricia A. Benedito, the Quality Management Representative in place of Dr. Noel B. Begnalen, the Vice President for Academic Affairs. She welcomed everyone warmly and emphasized the importance of the day’s engagements in ensuring continuous improvement in the institution's academic and administrative operations.
A heartfelt message from Dr. Gregorio T. Turqueza, the College President, followed. His message emphasized the administration's commitment to quality operations of the three offices under audit; the registrar, library and guidance and institutional development as a whole. He reaffirmed the university's dedication to excellence, innovation, and accountability in all aspects of its operations.
Sir Niel C. Ordiales officially opened the meeting. His facilitation marked the start of the day's formal activities, providing guidance on the objectives and flow of the engagements.
The interview with the top management commenced at the president’s office. This session focused on exploring the context of the organization, specifically addressing the identification of external and internal issues that influence the institution’s direction and performance. Simultaneously, the Guidance Office, IQA Team Leader, Records Controller, and Document Controller were also interviewed. These discussions centered on the scope and application of the Quality Management System (QMS), identification of interested parties, quality policy, and the achievement of quality objectives, targets, and related programs.
Key areas discussed included:
• Risk and opportunities, and the actions to address them
• Organizational structure, roles, responsibilities, and authorities
• Customer satisfaction and feedback mechanisms
• Internal audit results and how these inform planning
• Management review findings
• Verification of previous audit concerns and corrective actions taken
These sessions reviewed their operational systems and processes, documentation practices, service delivery, and alignment with the QMS standards.
The Closing Meeting was conducted where Sir Niel C. Ordiales presented the strengths and opportunities for improvement, and two (2) minor nonconformities were identified and the action to be taken. Dr. Gregorio T. Turqueza Jr., President of the institution, delivered his words of commitment, assuring the team of the administration's full support in addressing any findings and maintaining a high standard of quality assurance. Dr. Mary Joan T. Guzman concluded the meeting with her Closing Remarks, expressing gratitude to all participants and reaffirming the importance of collaborative efforts in driving institutional improvement.
The day ended with a sense of accomplishment and clarity on the areas for further development, as well as recognition of the university’s ongoing commitment to quality services, operational excellence and the plan for expansion of areas to be subjected to audit.
